TransferGo Group entity (Employer) (“TransferGo”, “we”, “our” or “us”) provides this notice in case you decide to apply to work with us as an employee, worker or contractor. This notice sets out the legal basis on which we will process your personal data. Please read it carefully to understand our practices regarding your personal data and how we will use and process it.

TransferGo is the controller of the personal data of prospective employees, workers and contractors, and is subject to applicable data protection laws.

We use Greenhouse, an online application provided by Greenhouse Software, Inc., to assist with our recruitment process. We use Greenhouse to process personal information as a data processor on our behalf. Greenhouse is only entitled to process your personal data in accordance with our instructions. Where you apply for a job opening posted by us, these Privacy Notice provisions will apply to our processing of your personal information in addition to our other Privacy Notices which have been provided to you separately or are available on our Website.

When you apply for a job opening via the application function on a job site or similar online service provider (“Partner”), you should note that the relevant Partner may retain your personal data and may also collect data from us in respect of the progress of your application. Any use by the Partner of your data will be in accordance with the Partner’s privacy notices. Please read them carefully.

We also collect Information from external sources, such as those that are commercially available to us. Some of the personal data we collect, and additional information, may be provided to us by recruitment agencies with whom you have registered an interest. Such recruitment agencies support our recruitment processes under a duty of confidentiality. If there is a need, we sign data sharing and data processing agreements (controller-processor or controller-controller, as the case may be) with such recruitment agencies.

We may also receive other personal data about you from organisations such as third-party background screening providers, credit reference agencies, fraud prevention agencies, sanction screening, criminal convictions screening and referees.

Where required and allowed by law, we also collect and store personal data relating to criminal convictions and offences. Since 2020 Transfergo works as a group of companies and because of that we need to comply with UK regulation and analogous laws of other jurisdictions in which TransferGo operates to do background screening for senior management roles, i.e. do a criminal check. As set out above, we may pass your information to our third party service providers, including Greenhouse, who use it only in accordance with our instructions and as required by law.

How we store your personal data

Security

We take appropriate measures to ensure that all your personal data is kept secure including security measures to prevent personal data from being accidentally lost, or used or accessed in an unauthorised way. We limit access to your personal data to those who have a genuine business need to know it. Those processing your information will do so only in an authorised manner and are subject to a duty of confidentiality.

We also have procedures in place to deal with any suspected data security breach. We will notify you and any applicable regulator of a suspected data security breach where we are legally required to do so.

Unfortunately, the transmission of information via the internet is not completely secured. Although we will do our best to protect your personal data, we cannot guarantee the absolute security of your data transmitted through any online means, therefore any transmission remains at your own risk.

Where we store your personal data

We store your personal data in our own systems. The data are stored in the United Kingdom or the European Union.

The data that we collect from you and process using Greenhouse’s services may be transferred to, and stored at, a destination outside the European Economic Area ("EEA"). It may also be processed by staff operating outside the EEA who work for us or for one of our suppliers. By submitting your personal data, you do not object to this transfer, storing or processing.

In particular, your data may be accessible to i) Greenhouse’s staff in the USA or ii) may be stored by Greenhouse’s hosting service provider on servers in the USA as well as in the EU. The USA does not have the same data protection laws as the United Kingdom and EEA. The personal data shall be securely transferred upon the standard contractual clauses for data transfers outside the EEA, approved by the European Commission, and data processor agreements which have been signed between TransferGo and Greenhouse Software, Inc., also its overseas group companies, and between Greenhouse Software, Inc. and each of its data processors. These data processor agreements are designed to help safeguard your privacy rights and give you remedies in the unlikely event of a misuse of your personal data.

How long we keep your personal data

The date of the end of selection is considered the date of conclusion of the employment contract for a specific position or our decision to terminate the selection.

At the end of the data storage period your personal data will be deleted. If you withdraw your consent to process personal data, they will be deleted immediately after the withdrawal of consent, even if the data storage period has not yet expired.
